Membership Information Privacy
All personally identifiable data collected by the Society will be kept securely by the elected Society committee members, and available only to these members for the duration of their term in office, for the express sole purpose of running the Society safely.
When a member joins OffShoot Photography Society they will be asked you to provide their name, an email address and a mobile phone number. As our membership is only open to people over 18 we will request that they confirm that they are over the age of 18.
We will allocate a membership number to each member and together with this, we will maintain a record of subscription payments and the years that they are active in the society.
A record of attendance at meetings will be kept.
The above pieces of information are the only information items held by OffShoot of its members.
The information above will be used for the day to day running of the Society. Some specific uses of the data are:
- Determining eligibility to attend events, outings and voting at the AGM or an EGM.
- The emailing of the weekly Newsletter to members as well as the emailing of news on specific events or items that members of the committee may consider of interest to the members.
- Should items arise that require more immediate contact than email the mobile number will be used.
- Where required for insurance and legal reasons (as per the ‘Privacy & Data Protection’ section in our constitution) we will share records with legally authorised third parties.
- If we receive an affiliation verification request from an organisation (typically the IPF), initiated by an action taken by a specific member, we will validate that member’s membership to the requesting organisation.
Members may at any time request we provide the data held by the Society on themselves by emailing privacy@offshoot.ie.
When a member leaves the Society their email address and mobile number will be removed from our records and they will stop receiving member communications.
The remainder of their records will be held for a period of 3 years. Therefore we hold our members’ records as indicated above for the duration of their membership plus 3 years.
Leaving members may request we remove their records immediately on their membership termination by emailing privacy@offshoot.ie.
No data will be provided to any third party other than as disclosed above and any leak or breach of data will be reported to members immediately on discovery.

Submission of personal information is not required in order to browse our website and we strongly urge you NOT to disclose any of your personal addresses, emails or phone numbers when interacting in the comments sections.
